Connected email accounts
If a workspace owner connects an email account, LetterOtter receives read-only access to messages and supported attachments for the private archive. This includes sent, spam and trash folders. LetterOtter does not send, modify or delete messages in that account.
Private workspace content
LetterOtter retains newsletter content, original messages, sender details, and supported images and fonts. Access requires a signed-in account with membership in the corresponding workspace. Account authorization credentials are encrypted before storage.
Public brand previews
LetterOtter may publish a separately reviewed brand name, website, and editorial description on a public preview page. Incoming messages do not automatically publish brand pages. Message subjects, newsletter bodies, images, and workspace observations stay private.
Service providers
Google provides email account authorization, Clerk provides sign-in, Neon provides database storage, and Vercel hosts the application and private files. These providers process the information necessary to operate their services.
Images and personalized assets
Images and fonts may be retrieved from senders’ asset providers. If you opt into personalized asset recovery, these requests can include subscriber identifiers already present in the original email URLs and may register an email-open event. Tracking pixels are excluded from previews. Preview rendering uses private archived assets; it does not automatically load the sender’s remote images in the reader.
AI processing
The current application does not submit archived newsletter content to an external AI model. Any future AI integration needs a separate privacy review before activation.
Disconnecting and deletion
Disconnecting an email account stops future synchronization and removes the stored connection credentials. Previously archived messages and assets remain in the workspace. To request removal of archived data, email removal@letterotter.com. There is currently no scheduled automatic deletion of archived messages.
